Position Summary:

Amref Health Africa in Canada is seeking a Programs Operations Coordinator to play a vital role in ensuring the seamless execution and delivery of our impactful programs and partnerships. The Program Operations Coordinator supports the implementation and delivery of Amref Canada’s programs and partnerships. The role ensures program operations run efficiently, with timely reporting, document management, financial tracking support, and coordination with Amref teams globally. The coordinator plays a critical role in program compliance, data quality, and systems maintenance, helping to ensure successful outcomes for health initiatives.

Major Responsibilities:

Program Coordination & Administrative Support

  • Support program implementation through documentation, scheduling, and coordination of key deliverables.
  • Maintain trackers for programming milestones, reporting deadlines, and contractual obligations.
  • Coordinate logistics for meetings, travel, events, workshops, and learning exchanges.
  • Draft meeting agendas, take minutes, and manage follow-up tasks.

Financial & Compliance Support

  • Track program expenditures against budgets in coordination with the Finance team.
  • Collect, review, and organize expense documentation (invoices, receipts) for funder compliance.
  • Assist in preparing financial templates and reports for funder submission.
  • Help ensure internal records meet audit and donor compliance requirements.

Partnership & Stakeholder Liaison

  • Maintain up-to-date relationship management (CRM) records and contact history with partners and stakeholders.
  • Draft and organize briefing notes, pitch decks, and backgrounders for external meetings.
  • Help prepare materials for funder stewardship, including success stories and impact highlights.
  • Coordinate follow-ups and documentation with partners post-meeting or events.

Monitoring, Evaluation & Learning (MEL) Support

  • Coordinate data collection timelines with Amref country teams and program managers.
  • Compile and review program output and indicator data for quarterly and annual reports.
  • Support formatting and documentation of results frameworks and log frames.
  • Assist in developing visual dashboards or storyboards for internal and donor use.
  • Support to ensure gender equality, youth engagement, or inclusivity in programming.

Program Development, Knowledge Management and Communications support

  • Support assembly of concept notes, budget templates, and program proposal drafts.
  • Contribute to knowledge management by organizing and maintaining final versions of reports, results frameworks, and learning products in SharePoint and internal systems.
  • Support the formatting and coordination of program updates, success stories, and impact highlights for use in donor reports, stakeholder briefings, and social media including tracking follow-up actions where needed.
  • Assist with content development and scheduling support for social media posts, in collaboration with the Communications team, to amplify program visibility and engagement.

Other responsibilities as required

  • Contribute to the vision, mission, and values of the organization by fulfilling other responsibilities as may from time to time be required.
  • Assist in documenting and sharing lessons learned, tools, or best practices across the team to support internal learning and adaptive program management.
  • Ensure effective use of tools (e.g., SharePoint, CRM, Canva) in supporting communications and document workflows.

Knowledge and experience:

  • Undergraduate or Masters degree in global health, international development, or a related field.
  • 2–4 years of experience in a program operation, project support, or coordination role in a non-profit or global development setting.
  • Familiarity with donor compliance, particularly Global Affairs Canada (GAC), is an asset.
  • Experience with results-based management (RBM) or logic model approaches, is an asset.
  • Basic familiarity with data visualization tools (e.g., Power BI, Canva, Excel charts)
  • Experience supporting project budgets, documentation control, and reporting.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint); SharePoint and CRM systems (e.g. Microsoft Dynamics).
  • Strong communication and interpersonal skills, with cultural sensitivity in a global setting.
  • Experience formatting reports, synthesizing content, and organizing large volumes of information.
  • Ability to manage multiple timelines, pay close attention to detail, and work independently.
  • Multiple languages, especially English and French are considered an asset;
  • Demonstrated experience with producing external communication and social media materials is considered an asset.

Relationship with other positions:

  • Collaborates with the Director of Programs and Partnerships and Senior Program Managers on program execution.
  • Works closely with the Finance team for budget tracking and donor financial compliance.
  • Coordinates with the Fundraising and Communications teams for proposal inputs and storytelling.
  • Liaises with Amref HQ and country offices for program updates, data, and logistics.

Working Conditions:

Amref Health Africa in Canada uses a hybrid work model (currently 2 days per week in our Toronto office). Beyond standard office hours, the role requires flexible working hours to effectively coordinate with our global colleagues. Domestic and international travel may be part of this role and requires additional flexibility on working hours in line with Amref Health Africa in Canada’s Human Resources policy.
