Building on the 50-year legacy of the organizations that formed Action Canada, we provide direct support, referrals, and information to the people who need it most, partner with groups and organizations on a range of campaigns using a collaborative, movement-building approach, and work with decision-makers to advance progressive policies on access to abortion, stigma-free healthcare, gender equality, LGBTQ rights, sex workers’ rights, and inclusive sex-ed.

The Finance team consists of the Director of Finance, the Finance Officer, and the Junior Project Accountant. The Finance Officer reports to the Director of Finance and works closely with project and program managers as required. Our small and nimble team works closely together to support the important work of the organization.

Who You Are

You are a finance professional with a strong eye for detail, excellent Excel skills, experience with reporting on multi-year grants, and broad financial experience, ideally in the non-profit sector. You are a team player and are excited to work within a small but growing organization. You are not intimidated by change and welcome the opportunity to work on multiple grants, helping to improve systems and processes for increased efficiency.

Primary Job Responsibilities

Institutional Grant Support:

  • Coordinate with external partners to meet grant requirements
  • Oversee financial expenditures, reporting, and budgets related to Action Canada’s Rights from the Start project, funded by Global Affairs Canada, and other grants reporting as required. Including grant budget administration, analysis, and monitoring
  • Maintain reporting calendars for grant reports and scheduling of activities to comply with grant agreements and financial policies
  • Coordinate with the finance and program teams to ensure that all financial and reporting obligations are met
  • Conduct financial systems information extraction
  • Assist with grant audit preparation
  • Assist in analysis of funding and grant contracts to ensure complete and accurate implementation of systems and processes for funder and organizational reporting
  • Support institutional grant funding reports and audit compliance, coordinate with program teams to ensure that all reporting obligations are met
  • Verify expenditures allocated to grant-funded projects to comply with grant agreements
  • Prepare regular and special reports on budget commitments, expenditures, revenues, and forecasts
  • Support optimized accounting processes, internal control procedures, and best financial practices
  • Assist with yearly organization financial audit and grants audits preparation. Prepare supporting documents and analysis as may be required

  • Other duties as may be required by the Employer.

General Financial Support:

  • Perform accounting operations in support of programs and support staff on the management of their budgets
  • Process, maintain, verify, and reconcile payroll for the organization, including all necessary deductions and other payroll related activities as required
  • Prepare monthly bank reconciliations and monitor cash flow, ensuring optimal levels are maintained to meet grant requirements
  • Support the preparation of regular internal and external financial reporting (Word/Excel) including financial statements and program expense reports
  • Support the Director of Finance with financial reporting templates, financial correspondence, and other grant financial deliverables
  • Assist with budget administration, analysis, and monitoring
  • Develop and implement internal systems and procedures to support the organization’s financial obligations as required
  • Assist with yearly organizational audit preparation
  • Support senior staff and other project staff on the management of their budgets
  • Respond to inquiries and investigations
  • Exercise a high standard of confidentiality regarding documents of a sensitive nature
  • Other duties as may be required by the Employer.

Qualifications

  • Eligible to work in Canada
  • University Degree in related field, or equivalent experience
  • Minimum three (3) years’ experience in preparing project financial reports, ideally in not-for-profit organizations
  • Advanced level of Excel knowledge and ability
  • Ability to communicate effectively with internal and external stakeholders
  • Experience with Global Affairs Canada and/or other large institutional grant funders would be a significant asset
  • CGA or CPA designation would be a strong asset
  • Knowledge of and commitment to Action Canada’s mission and values

  • Commitment to and demonstrated effectiveness working as part of a diverse and participatory team
  • Ability to work independently and manage competing priorities
  • Demonstrated commitment to anti-racism and anti-oppression principles and practices
  • Flexible and adaptive, able to respond quickly and effectively to changing circumstances
  • Fluent in English, writing and speaking.
  • Proficiency in French and /or Spanish would be an asset.

Compensation and Benefits

This is a full-time (37.5 hours per week), salaried position. This is a unionized position in CUPE Local 2722-05. Salary for this position is $63,000 per annum. Action Canada also provides a generous benefits program, including extended health and dental benefits, leave allowances, and RRSP contributions.

This is a parental leave cover, with an end date of 31 July 2023.

Location

This position is based out of Action Canada’s Ottawa office, at 240 Bank Street. While the successful candidate must be based in Ottawa and able to attend the Ottawa office from time to time, most staff continue to work remotely, and the organization expects to continue to have flexible alternative work arrangements.
