Stewardship & Events Officer

Working in Operation Eyesight’s Calgary corporate office, this role provides direct support for our Fund Development team to ensure the continuation of our quality, comprehensive eye care activities in South Asia and sub-Saharan Africa. As a member of the Fund Development team (FD), and reporting to the Director of Fund Development, the Stewardship and Events Officer is responsible for implementing a comprehensive stewardship program for all current donor groupings. The Stewardship & Events Officer will create meaningful and informative donor stewardship material, reports, and events for Operation Eyesight.

The Officer will work closely with the Database Administrator who will set up systems to track the reporting deliverables for grants and major gifts. Further, the Officer will work closely with the Advancement team and the International Programs team to create meaningful and relevant content and summarize key performance indicators for reports. The Officer will support grant reporting by proofing and editing draft reports.

The Officer will also support the Planned Giving Officer in creating and automating a bequest stewardship program.

Duties and Responsibilities

Key responsibilities include:

  • Manage a comprehensive stewardship plan for all current donors, providing detailed reporting and meeting timelines to maximize donor support.
  • In collaboration with the Director of Fund Development, establish successful and best in class stewardship and donor experience practices to cultivate donor engagement.
  • Create engaging, articulate, and compelling donor stewardship reports and other materials (including writing content and designing layout) that connect donors with the impact of their philanthropy.
  • Assist the Fund Development team to ensure effective stewardship takes place following a gift to maintain the donor’s involvement, interest, and continued support, relevant to their level of engagement with Operation Eyesight.
  • Work with the Fund Development team to draft and finalize gift agreements in accordance with donor wishes.
  • Support the Fund Development team with robust personalized proposals and accompanying letters.
  • Compile donor profiles relevant to the FD team as they relate to stewardship activities.
  • Spearhead relationship between FD team and International Program Teams to strengthen collaboration.
  • Work with Finance and International Programs teams to record and track all details pertaining to earmarked funds from donors including mandate area, country, partner organization, reporting dates, and other requirements.
  • Support the Advancement team to provide customized touchpoints including updates, Impact Reports, and Annual Reports.
  • Collaborate with the Advancement team to enhance donor recognition and experience on Operation Eyesight’s website, Annual Report, and other printed, digital, and video materials to ensure consistency of brand and messaging across all materials produced.
  • Organize and manage engagement and stewardship events for Operation Eyesight. This includes managing event budgets, coordinating logistics, marketing campaigns, and overall planning and execution of in-person and virtual events.
  • Perform other related duties as required or assigned to support the overall goals of the organization.

  • Strong computer skills, including proficiency with MS Office (Word, Excel, Outlook), Adobe Acrobat, and fundraising databases. Experience with Salesforce is an asset
  • Demonstrated ability to use tact and judgment in dealing with sensitive, complex, and confidential issues.
  • Experience in event planning and organization.
  • Willingness to work flexible hours.

Education/Training/Experience

  • Post-secondary education and a minimum of 2 years of experience in a not-for-profit environment.
  • Knowledge of/experience in International Development is considered an asset.
  • Experience in fund development and/or customer service an asset.
  • Excellent presentation, communication, and interpersonal skills.
